HPIN Questions
To make it easy for your to use HPIN, we’ve compiled a list of our most commonly asked questions. If you can’t find the answer you are looking for, please get in touch with the team by emailing info@hpin.co.uk
HPIN is the largest heat pump installer network in the UK. HPIN gives all plumbers, electricians and heating engineers a route to installing heat pumps and growing their business.
Joining HPIN is free. We don’t charge monthly subscriptions or a fee to sign up.
Our MCS umbrella scheme, HPIN Direct is also free.
Creating your HPIN account is easy. All you need to do is visit www.hpin.co.uk/register and complete the online form.
We need the following documents from you to get you onboarded:
- Your National Insurance Number
- Your company details
- Qualifications and supporting documents, such as:
- NVQ Level 2 or 3 in Heating/Plumbing
- Gas Safe Registration Number
- Oftec Registration Number
- G3 Unvented Qualification Certificate
- Public Liability Insurance Certificate
Don’t worry. If you don’t have all these documents to hand, please still go ahead with registration and you can upload supporting documents later. Our team will be on hand to support you.
You can still create your account on the HPIN website without uploading your documents however, you will need to supply all of these before we can onboard you properly and progress any jobs for you.

MCS Umbrella Scheme Questions
HPIN Direct
Submitting your job couldn’t be easier. Just follow the simple step by step guide to guide you through the process.
- Login to your HPIN account.
- Click ‘Your Job Submissions’ and then ‘Submit a new job’
- Enter your customers’ details and tell is if they are the owner of the house.
- Enter the property type and answer the questions about the main fuse and consumer boards. Upload any photos if you have them of the consumer board.
- Next, upload photos (fi you have them of any EV chargers, Solar PV, extra consumer boards and the main cut out.
- Give details of any other large electrical items being installed from the drop-down list.
- Tell us if the customer would like access to the BUS grant and what fossil fuel type is being replaced.
- Enter the MPAN number
- Upload your plans or documents (if applicable)
- Click ‘Submit job’
- Once you have clicked ‘Submit Job’ our team will look at the submission to confirm that we have all the information we need to proceed.
- Depending on how you choose to use HPIN, we will contact you to pay your retainer.
- HPIN Certified installers – If your design is from plans, we will contact you to take your £350 payment. Remember to add these costs to your labour and material costs for the customer quote when you give them to us.
- MCS umbrella scheme installers – We will contact you to take your £250 retainer payment for the technical assessment and design (£350 if your design is from plans) and your £250 auditing and commission payment. Remember to add these costs to your labour and material costs for the customer quote when you give them to us.
- Technical assessment and design
- HPIN Certified Installers: You will have access to our design software to be able to do your own technical assessment and design.
- MCS umbrella scheme installers: We will calculate the property’s heat loss, carry out the system design for you with you on site. We will then select the correct heat pump bundle for the installation.
- We will apply for the BUS grant on your customers’ behalf and add this and the heat pump bundle pricing into a quote for you.
- Tell us how much you want to add to the quote for your labour and the cost of any extra materials. We will then send you the final quote with all the costs for your customer.
- Your customer pays us the full invoice amount minus the BUS grant amount
- We agree an install date with you and arrange for the heat pump, cylinder and controls to be sent to the customer address.
- You carry out the install for the customer and give them a comprehensive system handover so they can use their new heating system.
- We will audit and commission the system and send the customer a handover pack with all their required documentation including warranty information.
- Once the audit has been passed, we will pay you for the total given on your quote.
It depends on the Installer journey and whether you are fully onboarded or not. If you are a Certified Installer and get paid jobs from us, here is a rough timeline:
- Log your job with the required details on the portal (5-10 mins)
- Complete your Carno training (1 day)
- Complete Carno design on site (2-4 hours)
- Complete quality control call (30 mins)
- Pre BUS admin (quote creation and submission to customer) (1 day)
- Customer quote acceptance (varies per customer)
- Customer OFGEM acceptance of BUS (varies per customer)
- BUS application timeline (Max of 10 working days)
- Product prep and finalisation (Max of 7-10 working days)
- Installation (varies per customer and Installer)
- Post install audit (48 hours providing all paperwork is received and customer handover complete)
- Payments made every fortnight providing cut off met
You are liable for any remedial work within 12 months of the installation as per your Supply of Service.
We pay all installers once the audit is passed, and the customer is happy. We also required all documentation to be uploaded or sent in before payment can be made.
You will invoice us for the labour amount you put on the customer quote.
We do all of that for you as well as all the other admin!
It takes approximately 10 working days for BUS vouchers to be issued.
Unfortunately not. We need the BUS voucher funds to be released so that we can purchase the materials required for the job.
The boiler upgrade scheme payment pays for the goods and services quoted for and is retained by us.
We will supply the air source heat pump, cylinder and controls.
If you are only using our MCS Umbrella scheme, HPIN Direct we will complete a design with you on site.
If you are a fully onboarded HPIN certified installer, we will train you on our design software Carno and issue a login to you.
If you are using our umbrella scheme HPIN Direct, regardless of qualifications, commissioning is an MCS requirement.
If you want to be a certified installer, it is a simple switch, and we will do the commissioning for you as part of our process.
No. However, you can refer the customer to us instead of logging it as a HPIN Direct install. We will sell the job, and you can keep the install that way.
We do not allow access to our MCS without you being onboarded.
We will be exploring other manufacturers offers in the future and when they are available, they will be advertised on the HPIN Website.
We currently work with the following brands for HPIN Direct:

- Daikin
- Vaillant
- Midea (City Plumbing installers only)
Yes, it’s a requirement of the Boiler Upgrade Scheme and MCS that the property’s heat demand is met. This must be evident on the design.
Make sure when you log your job on the HPIN portal that you have all the plans required and upload them into the portal.
You can also use the calculator which will give you an indicative cost.
When you are ready to go ahead with a design from plans (we do that) simply call in and pay the design fee.
